Microsoft Online Service - Contacts
Overview
This article covers the functionality and usage of the Contact administration feature provided as part of the Microsoft Online service for Atria. This is intended for use by Customer Administrators or Service Desk staff.
A Microsoft Online Contact is a mail-enabled contact that can be used to store external contact information in the organization's global address list. Contacts are often used to route emails to external recipients without requiring a full user account, allowing easier management of external communication.
Atria enables end-customers and service desk staff to manage Microsoft Online Contacts without needing direct access to the Microsoft 365 admin portal.

- Requires: Microsoft Online Service to be deployed and provisioned to the Customer.
- Default Roles with Access:
- Reseller Administrator
- Microsoft Online Service Administrator
Prerequisites
Contacts can only be created if a tenant has a Microsoft Online subscription activated.
Contact Management
To navigate to the Contact Management Feature:
- Locate the customer, or log in as an administrator within the Customer.
- Navigate to
Services > Microsoft Online > Contacts
All current contacts will be retrieved in real-time from Microsoft Exchange Online and displayed in the list:
From this page, you can:
- Create new contacts.
- Edit existing contact configurations.
- Delete contacts using the right-hand context menu.
Creating and Editing Contacts
- Open the New Contact Form:

Enter Contact Details:

Fill in the following fields for the contact:
- First Name: The first name of the contact.
- Initials: Optional field for the contact's initials.
- Last Name: The last name of the contact.
- Display Name: The name displayed in the Outlook Address Book.
- Alias: A short identifier for the contact.
- External Email Address: The email address of the external contact.

Configure Additional Options:
- Hide from Address List: Toggle this option if you wish to keep this contact private. Enabling this will hide the contact from the global address list in your organization.

Save the Contact:
- Once the information is filled in, click Save to create the contact.
It may take a few seconds for the contact creation process to complete.
Editing an Existing Contact
Click on any contact in the list to display and edit the contact's configuration.
Save Changes
Once you’ve made the necessary updates, click the Save button to apply them to the contact.
